Booking Your School Trip
Booking your school trip is easy with Kipling Tours. We have a dedicated team with a wealth of experience in Educational Travel. Whether you are planning to go to Rome or Rio one of our team is almost certain to have been there and will be able to talk with in-depth first hand knowledge of your chosen destination. We keep up to date with frequent inspection visits to our most popular destinations so you can be confident you are in safe hands.
Get a Quote
The first step on your journey is to get in touch with us and get a quote for your planned tour. You can do this by filling in our online quote request form or you can email us with details, but by far the best way is to phone and speak to one of our Educational Travel Specialists so we can hear first hand about the aims and objectives of your tour. Its during this process that we are able to build up a picture of what you want to do, the likely group size and ages of the students. This is entirely without obligation and we do of course understand that your school management may require you to obtain more than one quote. We are always happy to review whether we can match or beat an existing quote that you may already have on a like for like basis.
Promote Your Trip
Promoting your trip in school is a key stage in the process of launching a tour and one where we can give you support with marketing materials such as colour posters and power point presentations. If you wish, one of our experienced travel advisors can also come to the school to meet with teachers and management and to give a presentation to students and parents.
Make a Provisional Booking
You might be confident the tour will go ahead but might also need time to promote the tour and get final approval. If you know your dates we can often secure flights and accommodation on a provisional basis without any financial obligation. This means that once you are ready to move ahead with a booking, you can do so in the knowledge that various key components of the tour are already in place. If things don’t work out and you can’t proceed with the booking, we simply release any flights or accommodation we are holding and there is no further commitment.
Confirm Your Booking
During the trip planning and quote stage we will advise you of the deposit that is required from each student when you are ready to confirm your booking. Once you have collected in deposits from the students and have all those in place, we will invoice the school for the required sum and ask you to complete a booking form when sending the deposit cheque or BACS payment. Once we are in receipt of those we will issue your TTA certificate, and ATOL certificate for flight-based tours, which confirm the financial protection in place. We will also confirm the details of your booking and the flight times if they are within booking range.
Our Tour Coordinators Arrange Your Trip
During the next stage of the process one of our experienced Tour Coordinators will be assigned to your trip and their role is to work closely with you to put all of the tour arrangements into place. This will include such things as collating the passenger name list, determining dietary requirements and incorporating other special requests and any changes or additions that you might want to make to the itinerary.
